FAQ about Student Management Systems (SMS)

Should an SMS invoice customers?

In most cases a student management system can invoice your customers, however keep in mind that you will still need to use an accounting system eg Xero, Myob etc to calculate GST, create end of year accounts and to complete Business Activity Statements. For this reason while getting your student management system to send invoice can be useful to get quicker payments you will still have to enter that data into another system.

What happens when I want to change my SMS?

You should be able to migrate your AVETMISS NAT files easily - into your new system, which should as part of the establishment/onboarding activity recreate your courses and ensure that the outcomes and units are also setup for you.

Does NCVER approve SMS software?

No, NCVER does not have the resources and is not permitted to promote any particular software vendor, nor should their auditors make recommendations on software. If an auditor does be sure to check if they are getting a kick-back, or other incentive, this could demonstrate that their advice be treated with skepticism.

Do all SMS verify USIs (Unique Student Identifiers)?

Most should verify USIs automatically once completed by the student. Even better if the software gets the student to correct the USI data for you. This saves you contacting the student to correct their name, birthdate or USI, or even worse guessing what the details should be. You need permission from the student to look up a USI. Leaving the creation of new USIs and looking for lost USIs to the student is sensible and recommended by the USI taskforce.

Who owns my data if it is stored on the SMS?

Carefully read your terms and conditions, your data should belong to you.

Should I use a cloud based SMS or one that I install on my computer?

Cloud based software offers the benefits of reducing cost to you, there is no need to back up the data, no need to have computer that store the software, updates are carried out by the software vendor and you can access the software from anywhere. Be aware that some software vendors offer a virtual machine that you need to connect to. This is basically the same as having software stored on your computer, and means you need special software to access it (not just a browser) and internet connections need to be much faster.

Will my SMS support CRICOS?

Not all do, and if they do it may cost your more money. If you are thinking of applying for CRICOS check the costs involved with each vendor to have the necessary fields created.

Does the SMS do all my AVETMISS reporting for me?

While the software vendors supply the tools to capture the data and do the reporting they do not actually do the reporting for you. They may offer services to correct data and they might offer to give you assistance when you need to correct bulk data however reporting is a legal obligation of the RTO and should be carried out by a nominated compliance representative from the RTO.
